Theta Lake's recent findings spotlight significant apprehensions within enterprises surrounding the deployment of generative AI technologies in the realm of unified communications and collaboration (UC&C). Concerns primarily revolve around potential security vulnerabilities, prompting scrutiny from enterprises wary of adopting these evolving technologies.

These worries emerge against the backdrop of a year marked by substantial regulatory fines, amounting to over $4 billion, imposed on more than 70 businesses for failures in communication capture, recordkeeping, and supervisory measures. This regulatory environment underscores the need for caution as companies grapple with the complexities of integrating novel technologies like generative AI.

The findings are part of Theta Lake's sixth annual Digital Communication Governance, Archiving, Compliance and Security Report. The survey revealed that a staggering 97 percent of respondents expressed anxieties regarding the use of generative AI in UC&C and Digital Communications Governance and Archiving (DCGA). Devin Redmond, the Co-Founder and CEO of Theta Lake, highlighted the industry's collective concern: "GenAI is certainly top-of-mind, and the multiple areas of concern respondents noted highlight that."

Redmond emphasised that while AI is a hot topic, the concerns tend to focus more on potential risks rather than tangible threats associated with its widespread use. The report also illuminated the evolution of the modern digital workplace, characterised by an expanded reliance on cloud-based, multi-channel communication and collaboration tools. Nevertheless, current non-unified systems for archiving and voice recording complicate efforts in capturing, archiving, and supervising communications effectively, adding to enterprises' apprehensions.

Organisations are evidently struggling with compliance issues, particularly as the use of cloud UC&C solutions grows in popularity. The report indicated that over one-third of those surveyed doubled their use of four or more collaboration tools, and many have expanded to seven or more. Yet, a significant 58 percent voiced concerns about their existing record capture and reconciliation solutions across UC&C platforms.

The complexity of compliance extends to generative AI's capabilities, particularly with summarisation and note-taking tools which 43 percent of respondents identified as potential compliance challenges. Moreover, 53 percent viewed the provision of AI tools and large language models (LLMs) with access to sensitive information as posing the 'greatest risk'.

Irwin Lazar, President and Principal Analyst at Metrigy, acknowledged the widespread challenges that enterprises face: "As new collaboration applications and features rapidly enter the market, most regulated companies struggle with compliance." This struggle often leads to blocking certain apps or features, thereby hindering collaboration effectiveness. Lazar insists on the importance of finding effective compliance solutions to support a broad range of collaboration capabilities, including generative AI.

In response to these challenges, Theta Lake advocates for a "unified approach" to DCGA. Such a strategy could potentially address the discrepancies and inefficiencies associated with traditional archives and voice recording systems. Devin Redmond highlighted the ability of Theta Lake's solutions to alleviate the burden of off-channel communications and improve the efficacy of compliance outcomes.

The report calls into question the adequacy of sticking with existing solutions, suggesting that this approach might impede businesses from reaping the benefits of recent technological advancements such as improved productivity and a stronger financial stance. As enterprises navigate the evolving technological landscape, the challenge remains to balance innovation with compliance and security.
